Stop Typing Invoices Into a System That Should Read Them
We have spent twenty years going through business expense records looking for overcharges.
Doing that work teaches you something specific: most companies are paying the wrong amount
on a meaningful share of their invoices, and almost nobody has the capacity to check.
Checking every line is not a staffing problem you can solve by hiring. It is a volume problem.
This is the one area where automation is not a nice-to-have — it is the only way the work
gets done at all.
What we build
- Supplier invoice processing — invoices received in any format (PDF, scan, email body, portal export) read and converted into structured line items: vendor, date, amounts, tax, and the individual charges within the invoice.
- Line-item reconciliation — extracted charges compared against your agreed rates and contract terms, so billing errors and inapplicable fees are surfaced instead of absorbed.
- Statement and bank feed processing — statements ingested and categorised, with the categories mapped to your chart of accounts rather than a generic template.
- Contract and agreement extraction — key terms, renewal dates, rate schedules, and escalation clauses pulled into a register you can actually query.
- Posting into existing systems — output written into your accounting or ERP system, or exported in the format it already accepts. We do not ask you to replace your accounting software.
Why this pairs with our audit work
Our expense-reduction practice works on contingency: we find overcharges and billing errors,
and we are paid from what we recover. The constraint has never been expertise. It has been
the practical cost of reviewing records line by line.
Ingestion removes that constraint. Every invoice becomes structured data, which means the
audit can run continuously instead of once.
In practice this changes the engagement from “we will review last year’s records” to
“we will watch the next invoice as it arrives and flag the charge before it’s paid.”
That is a different product, and it is a materially better one.
Accuracy and limits
Extraction is verified, not trusted. Documents are processed automatically and
then checked against confidence thresholds. Anything below threshold is routed to a human for
review rather than posted silently. The system is designed to escalate uncertainty, not to
guess.
You keep approval authority. Automated ingestion can feed your workflow, but
nothing we build authorises payment on its own unless you explicitly ask for that and the
controls support it.
Data handling is agreed in writing before any document is processed — what is
accessed, where it is processed, how long it is retained, and how it is deleted.
Already paying for virtual card payment revenue?
Our
accounts payable automation
service generates revenue from payments you are already making — it is a separate solution
from document ingestion, and the two are complementary. Ingestion makes the invoice data
reliable; virtual payments make the payment itself generate a return. Most clients who take
one go on to take the other.
What it costs
Every engagement is priced on its own merits — we don’t publish a rate card, because the
number depends on the volume of documents, the number of systems involved, and how long it
takes to get right. Tell us what you’re processing today and we’ll give you a figure in
writing before anything starts.
